How to create client letters

This functionality allows providers to compose and share a letter associated with an approved or dispatched medical.

How to create a client letter 

A client letter can be created when a medical has a status of Approved or Dispatched.

  • Open a client medical.
  • From the left sidebar, under the Clinical section, click on  Letters > New letter.
  • Select the required letter template from the drop-down menu. This option is available only when more than the default standard template exists.
  • The letter Signatory defaults to the medical reviewer. If required, select an alternative signatory from the drop-down menu.
  • Add a letter Subject.
  • In the letter Content, autopopulated fields render as Example chips. Add the required information to the content.
  • Click Save draft to save progress. You can Preview, Edit or Delete a draft letter.
  • Click Edit to reopen a draft letter
  • Click Send to make the letter available in the client's online account and send an email notification.

The Letter.write ability is assigned to doctor users by default.  Where required, this capability can be assigned to other users through role-based access control (RBAC). 

How to recall a client letter

It is possible to recall a letter that has been sent to a client. This removes the letter from the client's online account.

Client's are not notified if a letter has been recalled.

  • Open a client medical.
  • From the left sidebar, under the Clinical section, click on  Letters
  • Click Recall on the required letter. It is optional to add a reason for the letter recall.
  • Click Recall only.

How to recall and reissue a client letter

A client letter can be recalled and reissued. Selecting this option creates a duplicate of the original letter to allow edits to be made. 

  • Open a client medical.
  • From the left sidebar, under the Clinical section, click on  Letters
  • Click Recall and reissue on the required letter. It is optional to add a reason for the letter recall.
  • The original letter is tagged as Recalled and a draft duplicate letter is created and available to Edit.
  • Once the letter has been updated, click Send to make it available in the client's online account and send an email notification.
